Engagement Dashboards by Backstory - Overview

The backbone of the Backstory platform has always been its robust insights derived from business activity data such as emails, meetings, and calls.

Over time, the Backstory web application has evolved in ways that enable nearly anyone to derive actionable insights from the massive amount of raw data being processed daily.

Engagement Dashboards are the latest addition to the Backstory web application, taking the power of activity data reporting to the next level.

With Engagement Dashboards, you don’t need a data science degree to build truly world-class reporting that’ll help you and your team understand the who, what, when, and how in just moments.

Types of Engagement Dashboards

Engagement Dashboards come in two different but powerful formats:

  • Boards: Boards enable you to view the aggregate status of your Accounts, Opportunities, and other entities.

  • Tables: Tables provide a more in-depth and detailed analysis of how your company engages with its customers.

Both Boards and Tables can be built on three primary objects:

  • Account: Engagement Dashboards built on Accounts enable you to construct datasets to better understand how Accounts are being engaged.

  • Opportunity: Similar to Accounts, Opportunity dashboards are designed to visualize how your team’s opportunities are being engaged within the selected time frame.

  • Team: Team dashboards shift the focus from CRM objects to Backstory users in your organization. Team dashboards display how team members are engaging with prospects, Accounts, and much more.

Navigating Engagement Dashboards

Upon logging into the Backstory web application, the home page you’ll land on will feature a few opportunities to get started with existing Engagement Dashboards or create a new one.

The sidebar is where you’ll see existing Engagement Dashboards listed by both types (Boards/Tables) and CRM objects (Accounts, Opportunities, Teams). Click on the object you’re interested in to view the full list.

  1. Larger organizations may have dozens of existing Engagement Dashboards already set up. Use the search bar to search among them (by name) to narrow down the list of results.

  2. Use this button to expand/collapse the Engagement Dashboard navigation sidebar.

  3. Check out the list of Boards created for your organization.

  4. Explore the data more in-depth with Tables.

  5. Create a new Board or Table!

FAQ

  • What types of users will be able to create Engagement Dashboards?
    Any user with access to the Backstory web application will have the ability to create their own Engagement Dashboards.

  • Will other users be able to view and edit my Board/Table?
    Whether users can view other Engagement Dashboards depends on their permission level in Backstory. Administrators can view all dashboards. Non-admins can only view dashboards that they’ve created, that've been assigned to them, or dashboards that've been made public.

  • Can I share a Board or Table?

    Yes. You can share Boards and Tables individually, but you cannot share entire folders where Boards and Tables are stored.

  • Can I use Engagement Dashboards to update fields and push those new values to CRM?
    At this time, edits to field data are not possible on Engagement Dashboards.

  • How do I group a chart by a multi-picklist field?

    Multi-picklist fields cannot be used directly in Group By. To work around this, build a custom metric for each picklist value, then use a multi-measure chart to display up to five values side by side.

Things to Consider

  • Custom fields must be mapped on the CRM Mapping page before they’ll be available for use in the Add Column interface.

  • You cannot add custom time periods to the OOTB metrics. In other words, if you’d like to apply a time period that’s not already available on your dashboard, please reach out to support@backstory.ai.

  • Only standard and custom fields from the Account, Opportunity, and Team objects can be mapped and added to an Engagement Dashboard. No other standard or custom objects are currently supported.

  • Dashboard metrics are refreshed every 24 hours. Any activities or changes to users' and teams' configurations that occurred after the last refresh took place will not be reflected in Engagement Dashboards until the next refresh is performed.
