We value your data privacy as much as our own, which is why we built the Engagement Log. The Engagement Log is exactly what it sounds like—a log of who your team engages with, and what activities Backstory has synced to Salesforce.
Keep sensitive information out of Salesforce by filtering select activities and contacts from syncing to Salesforce, directly from the Engagement Log. Maintaining your organization’s data privacy in Backstory has never been easier.
Navigating the Engagement Log
The Engagement Log is accessible via your Profile icon, located in the top-right corner of any page in Backstory.
When you open the Engagement Log, you will see a list of External People you have engaged with in the past week.
Click External Meetings or External Emails to view activities that Backstory has synced, or will soon sync, to Salesforce.
Use activity filters in the Engagement Log to view activities by user over the selected time period. Meetings and emails can also be filtered by status, so you can see what’s been synced to Salesforce or filtered.
Regarding the Status column for meetings and emails, it simply indicates whether the activity was automatically synced to CRM by Backstory. Filtered, in this case, means the activity was deemed ineligible for CRM sync.
If the activity was manually filtered from CRM, the Date Filtered column would list when and by whom the activity was filtered.
Filtering Activities & Contacts
If you see an activity or contact in the Engagement Log that should be removed from CRM, you can easily filter the activity or contact by using either the Stop Ingesting or Filter Activities buttons in the right-most section of that contact or activity's row.
Which option you select depends on your desired outcome for filtering the contact or activity.
Selecting Stop Ingesting for an engaged contact will add an Ingestion Local Filter, ensuring that Backstory will not process any activities where this contact is found as a participant going forward.
Selecting Filter Activities for an engaged contact will add a Push to CRM Local Filter to prevent Backstory from syncing activities to CRM where this contact is listed as a participant.
Furthermore, Backstory will scan your CRM and retroactively remove any activities where this contact is found as a participant.
Selecting Filter Activities for an email or meeting will remove this specific activity from CRM, but will not add any Local Filters.
Filtering Activities & Contacts Using the Activity Feed
A contact or activity can also be filtered from CRM via the Activity Feed, which is located on the Insights page, as well as on most Analytics pages, including Team, Accounts, Account Details, Opportunities, and Opportunity Details.
This functionality is available to all Backstory users.
To remove an activity from CRM using the Activity Feed, simply click the Edit Match button on the right-most side of the activity's box.
From there, click Remove Match at the bottom of the Activity Matching modal screen.
The final step of the removal process is simply notifying Backstory of the reason for removal. This feedback is used to better understand the reasons for removal.
Things to Consider
The Engagement Log only displays external contacts and activities because Backstory only syncs external activities to Salesforce.
Filtering a contact in the Engagement Log will affect all activities involving the contact, not just those of the current user.
