Engagement Dashboards: Tables

The Backstory: You want to check in on a set of accounts, but the data you need is scattered, and pulling it into one view means exporting to a spreadsheet and updating it manually. Rather than rebuilding that spreadsheet every time, you use Tables in Engagement Dashboards to combine CRM fields and engagement metrics in one customizable, always-current view. This lets you spot at-risk accounts and monitor team performance without leaving Backstory.


Tables give you a clean, spreadsheet-like view to organize and analyze your accounts, opportunities, teams, and activities—bringing together CRM data and Backstory engagement metrics in one place. With flexible customization, they help you quickly surface at-risk accounts, gauge engagement levels, and monitor team performance.


Access an Existing Table

The following steps walk you through opening an existing Table in Backstory Engagement Dashboards.

  1. In the left sidebar, use the search bar to search a Table by name, or browse the list of available Tables below the search bar.

  2. Click the Table name to open it.


Create a Table

Create a new Table or duplicate an existing one in Backstory Engagement Dashboards.

  1. In the left sidebar, click the + button.

  2. Click + Create a Table.

  3. Select an object type from the Object Type dropdown.

  4. Click Create.

  5. Your new Table opens as "Untitled" with default columns. Click the title field and enter a descriptive name like "[Team Name] Current Quarter Opportunities Table."

  6. Click Save.

Duplicate an Existing Table

The following steps walk you through duplicating an existing Table.

  1. In the left sidebar, use the search bar to search a Table by name, or browse the list of available Tables below the search bar.

  2. Click the Table name to open it.

  3. In the top right corner, click the three dots.

  4. Select Duplicate Table.

  5. Click the title field and enter a new name.

  6. Click Save.


Manage Columns

Columns populate with data from Backstory engagement metrics or CRM fields.

Add a Column

The following steps walk you through adding a column to your Table.

  1. Open the Table where you want to add columns.

  2. Click the + button to the right of the last column or click the three vertical dots at the top right of a column and select Insert Left or Insert Right.

  3. In the Add Columns dialog, browse or search the available columns. Hover over each column to read the description. Select one or more columns from the list.

  4. Click Add Columns to apply your selections.

  5. Click Save to save the Table.

Rearrange Columns

Drag and drop columns to rearrange their order.

  1. Click and hold the column header you want to move.

  2. Drag the column to the desired position.

  3. Release to place it.

Delete a Column

The following steps walk you through removing a column from your Table.

  1. Click the three vertical dots at the top right of the column you want to sort.

  2. Select Delete Column.


Filter Your Data

Filters let you narrow down the records displayed in your Table based on specific field values or criteria.

Add a Filter

  1. At the top of the Sheet, click Filter or hover over a column and click the filter icon.

  2. Click the Start with dropdown and select the scope of data to include (for example, records owned by you or your team).

  3. Click the Field dropdown and choose the field you want to filter by.

  4. Click the Operator dropdown and choose a condition (for example, "is any of").

  5. Enter the value to filter on.

  6. Click Apply.

  7. Click Save in the upper right corner of the Table.

Add a Cross-Object Filter

Cross-object filtering lets you refine your Table using criteria beyond the primary object type (account, opportunity, or team) on which it was created. For example, you can refine an opportunity table using activity-based filters or account attributes.

  1. In the Filters dialog box, click the + Add Cross-Object Filters.

  2. Follow the same steps in the Add a Filter section above to configure and apply your cross-object filter.

Add Filter Groups

Filter groups allow you to group filters by AND/OR logic.

  1. In the Filters dialog box, click + Add Group.

  2. Keep and to return results that meet all criteria, or change the dropdown to or to return results that meet any of the criteria.

  3. Select the Field and Operator from the drop-downs, then enter the Value.

  4. To add additional filters, click +Filter. To add additional filter groups, click +Group.

  5. Click Apply.

  6. Click Save in the upper right corner of the Table.


Sort Your Data

Sorting your data can help you find records faster and spot patterns or outliers in your data.

  1. At the top of the sheet, click Sort.

  2. From the Sort by dropdown, select the column to sort.

  3. Select a sort order:

    1. Click the down arrow to sort in ascending order (A–Z or lowest to highest).

    2. Click the up arrow to sort in descending order (Z–A or highest to lowest).

  4. (Optional) To add another sort criterion, click Add another column to sort by, then select a column and choose a sort order.

  5. (Optional) To change the sort priority, drag a sort criterion using the drag handle next to the column name. The table is sorted first by the top column in the list, then by each subsequent column in order.

  6. Click Save in the upper right corner of the Table.


Group Your Data

  1. At the top of the sheet, click Group.

  2. Select the column to group the data by.

  3. (Optional) To add another grouping level, click Add another column to group by, then select another column.

  4. (Optional) To change the grouping order, drag a grouping criterion using the drag handle next to the column name. Data is grouped first by the first column in the list, then into subgroups based on the remaining columns.

  5. Click Save in the upper right corner.


Share a Table

You can share a Table with specific people or make it available to your entire organization.

  1. Open the Table you want to share.

  2. Click the Share button at the top right.

  3. Select the individuals or teams you want to share with, or click the Available to everyone toggle to share with everyone in your organization.

  4. Click Done.

To make a Table private again, click the Available to Everyone toggle to disable it and remove any assigned users.


Export a Table

We recommend viewing data in Backstory whenever possible to ensure you are working with the most current data. Exported CSV files are static and do not update automatically.

To export an account or opportunity Table:

  1. Open the account or opportunity Table you want to export.

  2. In the upper right corner of the Table, click the Download icon.

  3. The Table is downloaded as a CSV file.

Note: If you are a Backstory admin and need data for reporting or to power a data visualization platform, we recommend using the Backstory API instead of exporting CSV files. This provides access to current data and supports automated integrations.


Delete a Table

  1. Open the Table you want to delete.

  2. In the top right corner, click the three dots.

  3. Select Delete table.

  4. Click Delete table to confirm.


Frequently Asked Questions

How many columns can I add to a Table?

There is no specific column limit, but keeping your Table focused on the most relevant data will improve readability and usability.

How often is the data in my Table refreshed?

Data refresh frequency depends on the object type. Account, Opportunity, and Team data are refreshed twice per day. Activity data is updated approximately every hour.

Can I view Zoom meeting IDs in a Table?

No, this feature is not currently available.
