Connecting Backstory and G Suite

Backstory utilizes Team Access to seamlessly authenticate with G Suite, enabling it to read users’ mailboxes and analyze activity data. This method is secure and requires no additional effort from end-users.

Team Access directly connects to your team's G Suite account, enabling administrators to onboard everyone in Backstory with a single, seamless integration. Administrators can directly specify exactly whose activities are captured and analyzed by Backstory.

Provisioning Mailbox Access via Organizational Unit or Google Groups

By default, the Backstory marketplace application has access to the entire G Suite organization. However, it is possible to limit access using G Suite's Organizational Units or Google Groups feature.

Steps to install:

  1. Create a Google Group or Organizational Unit for Backstory

  2. Click Domain Install for the Backstory marketplace application.
    The current Backstory marketplace app can be found here. Please note, you'll need to have G Suite 'super administrator' privileges to complete the installation.

  3. Select the Backstory Google Group or Organizational Unit from the install confirmation prompt.

  4. Add any users that will need Backstory access to the Backstory Google Group or Organizational Unit.

    Please note that data-disabled Backstory users, such as executives and administrators, do not need to be added to the Backstory-enabled Google Group or Organizational Unit.

  5. Finally, once the marketplace application is successfully installed, return to the Backstory Admin Panel and navigate to the Email and Calendar page. There, simply click Authorize Team Access on the Google tab of the Team Access page. This step can be completed by any Backstory administrator.

Adding Users to Backstory

After users are provisioned in the Google Group or Organizational Unit that Backstory can access data for, your Backstory administrator is responsible for adding new users to the Backstory application. This can be done on an individual basis, via CSV import..

Security and Privacy

What permissions does the Backstory app need to access user mailboxes and calendars?

Backstory utilizes a G Suite Marketplace App, reviewed and approved by Google. The app uses the following permission settings:

  • View groups on your domain

  • View users on your domain

  • View your installed application's licensing information

  • View your calendars

  • See and download your contacts

  • View your email messages and settings

  • View your email address

  • See your personal info, including any personal info you've made publicly available

Backstory never has access to the mailboxes or calendars of anyone who has not specifically been added to Backstory and has the Intake Data permission enabled. As an added layer of security and privacy, some Backstory customers opt to implement a second control by utilizing a G Suite organizational unit (OU).
