Connecting Backstory and Zoom

The business world is hectic, and communication with customers and prospects occurs at any time and from any location. With this in mind, we’ve designed a direct integration with Zoom.

Backstory seamlessly integrates with Zoom to summarize meeting insights, evaluate deal risks, and understand account states. This integration enables you to directly ingest Zoom meetings into Backstory, regardless of how meeting invitations are sent (e.g., via Slack, email).

Meetings that have not passed the sensitivity checks (a personal email address or the presence of sensitive content in the meeting) will not be included in the summary. Additionally, if a user has intake disabled, this integration will not process their transcripts.

Upon enabling this integration, Backstory will begin ingesting transcripts from your Zoom/People.ai integration! Backstory will only ingest information from the date of activation onwards and does not currently ingest any historical transcripts.

How it works

Backstory will only ingest transcripts for meetings when there is at least one internal user with intake enabled. This means that if you do not want meetings to be brought into the application, ensure the desired users belong to a Configuration Profile with intake off.
Backstory only ingests scheduled meetings, meaning that any meeting not saved in a calendar will not be ingested.

Installation and Setup

  1. Log into Backstory as an administrator.

  2. Click the grid icon in the top left corner.

  3. Select Admin Panel.

  4. In the left navigation menu under Data Ingestion, click Zoom.

  5. Click the Authorize Zoom button.

This will take you to the Zoom Marketplace landing page for the Backstory application.

You can alternatively find the Marketplace link for the Backstory application here.

Note: To complete the process listed below, the user must have Administrator-level permissions for your instance of Zoom.

Go ahead and click the Allow button.

After this, ensure that you enable the intake for any user(s) you would like to ingest meetings from!
You can do this by using Configuration Profiles. You can learn more about them here.

Usage

  • Transcript Ingestion: Backstory will ingest transcripts from scheduled Zoom meetings for users with intake enabled.

  • SalesAI: The SalesAI product will summarize meetings received from Zoom to capture insights for accounts and opportunities users are working on.

  • Prerequisites: Ensure the users whose meetings you want to capture are part of a Configuration Profile with intake enabled. Only meetings saved in a calendar are ingested.

Uninstallation

Should you need to uninstall the Backstory application from Zoom for any reason, the straightforward steps are outlined below.

Note: Upon disabling the integration, the ingestion of new transcripts will cease immediately. Additionally, Backstory users will no longer see meeting insights in their application views.

  1. Log into Backstory as an administrator.

  2. Click the grid icon in the top left corner.

  3. Select Admin Panel.

  4. In the left navigation menu under Data Ingestion, click Zoom.

  5. Click the Disable Zoom button.

Alternatively, to remove the application from within Zoom, follow the steps below:

  1. Log in to your Zoom Account and navigate to the Zoom App Marketplace.

  2. Click Manage > Added Apps or search for the "Backstory" app.

  3. Click the Backstory app.

  4. Click Remove.
