Integrating Backstory with the Slack

Backstory is a powerful asset for sales teams of all shapes and sizes, not just because of the technology under the hood, but because we work where you work. This is truer than ever with Backstory’s Slack integration.

Overview

Many SaaS organizations have adopted tracking certain types of meetings their salespeople hold as leading indicators in their sales methodology. To further assist in this endeavor, Backstory has developed a new Slackbot that understands when meetings happen and who’s involved internally and uses that information to directly request meeting categorization from attendees.

This highly configurable integration aims to further remove friction between salespeople and their CRM. Now, salespeople can easily categorize the meetings they hold with little to no effort, so reporting is accurate and always up-to-date.

Note: Admin User privileges are required in Backstory to enable this integration.

How it works

The Backstory Slackbot is incredibly simple for the end-user because it always requests one action: meeting categorization.
However, that doesn’t mean the integration is one-size-fits-all. In fact, the Backstory Slackbot is highly configurable and can be customized to fit your organization’s needs.

The following customization settings will need to be configured:

  • When to send the notification.

    • After meeting scheduled

    • After meeting happens

  • Who receives categorization notifications?

    • All meeting participants

    • Account owner

  • How to categorize?

    • Which Salesforce event type field to use

Follow-up questions created in the configuration will update the chosen Event field in Salesforce. If multiple users receive a categorization request, the last value will be saved to the event record.

Note: If the Account or Opportunity owner is not involved in the meeting or does not have a Backstory license, all internal meeting participants will receive a notification instead, and only meetings that match Opportunities or Accounts will trigger a Slackbot message.

Once these configuration choices are set, you’re ready to enable and authorize in Backstory.

How to Enable

Authorizing and enabling the Backstory Slackbot is very simple.
To begin, log in to your Backstory account and navigate to the Slack Integration page.
Once on this page, click the green Authorize Slack button.

You will be prompted to select which functionality you would like to enable. Select either (or both) of the following options:

  • Notifications: Opt for this option to receive interactive notifications in Slack, keeping you informed about important events.

  • Chat Ingestion: Enable this feature to seamlessly capture chats from customer channels into Backstory.

When your selections have been made, click the Connect button to begin initializing the integration.

You will be routed to the authorization page to review the complete list of requested permissions. Click the arrow next to each function to unroll any details about the shared permissions for that function between Backstory and Slack.

Once reviewed, click the Allow button to grant permission for this connection.

Once the integration has been connected, you will be redirected back to Backstory, where you will see that the Slack integration has now been enabled.

If you need to disconnect the Backstory-Slack integration, click the Disable Slack button.

How to Configure

Configuring Notifications Functionality

Configuring the meeting categorization is now entirely possible through the web application. The setup page is in the Notifications tab of the Configuration Profile on which you want the Slackbot enabled.

This page allows you to configure Slackbot to work in whatever way best suits you and your CRM's needs. It also allows you to configure your CRM's category field and the events for which Slackbot fires. Additionally, there is a section for implementing follow-up questions after completing meetings!

Note: The Backstory Slackbot will not trigger for recurring meetings.

Configuring Chat Functionality

  1. Click on the external Slack channel you want Backstory to ingest information from.

  2. Click View all Members for that channel.

  3. Select the Integrations tab.

  4. Click the Add Apps button.

  5. Search for Backstory and click the Add button.
