Record Selection

Choose which CRM records are enabled for SalesAI.

Record Selection lets administrators control which Accounts and Opportunities are enabled for SalesAI by defining filter criteria that automatically update your selected records each day. This helps you stay within your organization's usage limits while focusing SalesAI insights on the records that matter most to your business. Filters can target records by attributes such as top account flags, open opportunities, closing timelines, or record ownership.

Note: Record Selection requires a Backstory administrator account.

Configure Record Selection

These steps walk you through defining which Accounts and Opportunities will be enabled for SalesAI. Once saved, your filters are evaluated daily, so the selected records list stays current as your CRM data changes.

  1. Log into Backstory as an administrator.

  2. Click the grid icon in the top left corner.

  3. Select Admin Panel.

  4. In the left navigation menu under Data Analysis, click Record Selection.

  5. Under First, Define Accounts, click the Start with dropdown and choose a starting account set.

  6. Click + Add Filter to refine accounts by criteria such as top account flag, open opportunities, or record owner.

  7. To include associated parent accounts, click the Include related parent Accounts toggle to enable it.

  8. Under Second, Define Opportunities, click + Add Filter to specify opportunity criteria such as closing quarter or record owner.

  9. Review the Selected Records panel on the right to confirm the count of Accounts and Opportunities matches your intent.

  10. Click Save.


Frequently Asked Questions

What is my organization's SalesAI record limit?

Each organization has its own configured limit on the total number of Accounts and Opportunities that can be enabled for SalesAI. You can view your current limit and usage on the SalesAI Record Selection page under the Selected Records panel.

What happens if my filter criteria results in more records than my limit allows?

An error message will appear on the SalesAI Record Selection page prompting you to refine your filters until the record count falls within your limit. You must reduce the selection before you can save.

What happens if CRM changes cause my selected records to exceed my limit after I have already saved?

SalesAI will continue processing all records temporarily to prevent disruption to your business. Your Customer Support team will reach out to help you review and adjust your filter criteria so you stay within your limit.

Will there be data gaps if a record is re-enabled for SalesAI after being disabled?

No. When a record is re-enabled, SalesAI automatically backfills historical data to ensure full continuity in revenue stories and summaries.

Does SalesAI Record Selection configure records for Signals?

No. Signals require separate setup using internal settings. Contact Customer Support for help configuring records for Signals.
