Engagement Dashboards by Backstory - Boards

With the release of Engagement Dashboards, we promised to take reporting to the next level. The first step in doing that was the release of Tables, which are a fantastic way to get a robust view of your CRM's data.

Now enter Boards, a new and improved approach to visualizing the data that you know and love from Tables.

With Boards, there's now a quick and simple way to get the big picture of which metrics matter most to you! Boards do a fantastic job at telling a story with quick and easy-to-digest tiles, simplifying the process of getting an overarching snapshot of your business's current revenue data.

Navigating Boards

Upon clicking on a table from the sidebar, you'll be greeted with the new Board interface. The interface has several key areas that are worth noting.

  1. Board Title: This is the title of the entire dashboard. You must have a title for a dashboard to exist.

  2. Board basic info: This is where you'll find the dashboard's basic information, including the creator, date, and time it was created.

  3. Section Title: Each section of your Board will have a title as well.

  4. Tile: Tiles are what run Boards; each tile you add will show more information to the reader. This specific tile is a KPI tile. You can also notice the tile has a title as well as a time frame.

  5. Chart Tile: KPI tiles can be segmented to create chart tiles.

  6. Share: Use the share button to determine who has access to the dashboard.

  7. Options: The options menu allows you to edit, duplicate or delete the board.

Building your First Table

Want to build your own Table? No problem! It's easy, and there are a couple of ways to get started:

  • If you expand the sidebar, you can hover over the Boards section and click the "+" button that appears.

  • You can also click the "New" button at the bottom of the sidebar, then select Board.

Once you've done one of the two options above, you'll be met with the screen below:

First, add a title to your Board, as you won't be able to save your Board until you do. From there, go ahead and click the "Add Your First Tile" button to begin!

Tile Creator

When you're starting to create your tile, you'll be met with the Tile Creator element:

The lefthand sidebar is where the metric definition is laid out. This is important, but let's revisit this later.

Let's instead direct our focus to the Quickstart section, as it allows you to get a running start with setting up your tiles. There are five categories of out-of-the-box tiles available:

Activity, Account Engagement, Pipeline Generation, Pipeline, and Persona Engagement.

Each category provides you with a few default metric options to add to your Board. Let's select the 'Upcoming Meetings' metric, shown above in the Activity category, to see what's going on behind the scenes.

This is what you'll see when you choose a default metric. Our application will automatically fill out the definition on the left-hand sidebar, allowing you to both view how it is made and make any necessary edits. Let's take a look at each component in the most likely order of implementation:

  1. Object Type: This is where you can choose which CRM object your metric is based on.

  2. Measure: The measure indicates which data field is being used as the source to drive the metric.

  3. Aggregation: The core of Boards is aggregating data to get a quick glimpse into an overall value. Some examples of aggregation are Sum, Average, Filled, and Min/Max.

  4. Time Range: The data shown in your metric will only be for the selected time range.

  5. Segment By: This is how you can create plotted chart metrics. See below for a more detailed description.

  6. Display Preview: The display shows what your metric will look like in your Board. You can also change the metric's name here.

  7. Filter: Edit the filtering of your metric. See our Filters article for more info. NEED LINK

  8. Data Table: This table displays the data used to power your metric. Use this to validate your metric.

  9. Extra Detail Sidebar: This sidebar enables you to add visual details, allowing you to best customize your metric to suit your needs.

Let's talk a bit more about what Segment By offers for your metrics.

Segment By

Segment By is the way to turn your fundamental value metrics into plot charts that help tell your data story.

If we take our Upcoming Meetings metric from before and add Job Title to the Segment By section, we can divide the value of upcoming meetings into each category. The Extra Detail Sidebar also allows you to change between a Bar (horizontal) and a Column (vertical) chart.

Adding a field to the Then, Segment By"section will result in creating a stacked plot chart.

In this example, the Team field is used and now displays a colored and stacked bar chart showing the number of upcoming meetings for each team, divided by job title. Again on the right-hand side, you can see that there's now an option to toggle the Legend, as well as choose its location.

Once you've determined what you want your tile to look like, click Create.

Congrats! You've made your first tile, and you're well along the way to creating a great Board.

Board Management

Once you've created a few tiles and added them to your Board, you may want to edit and rearrange some elements. We've made it super simple to do this; think of the Board as a grid and drag and drop your tiles to place them wherever you'd like.

Once you've made all the edits you'd like to make to your Board, go ahead and click Save & Exit, then share it with everyone.
