Your organization’s designated Backstory administrators play a critical role in managing and governing your organization’s users, data, integrations, and AI configuration. Because their settings can have organization-wide impact, administrator access should be limited to users responsible for Backstory configuration and ongoing governance.
We recommend assigning administrator permissions only to users who should own Backstory configuration, testing, and ongoing governance.
What Does a Backstory Administrator Do?
Only Backstory administrators can access the Admin Panel, the central settings hub for configuring and managing Backstory.
Administrators are responsible for:
Managing access: Manage users, teams, and configuration profiles.
Managing integrations: Connect and maintain Backstory’s integrations with your CRM, email, calendar, and messaging platforms.
Managing data flow: Control which CRM records and other data are synced to and from Backstory.
Managing AI configuration: Define which records are available for AI analysis.
Managing external connections: Connect Backstory to BI tools and manage API keys.
In short, Backstory administrators control who can access Backstory, what data they can see, which systems connect to Backstory, what data flows between those systems, and how certain AI features are configured.
Because these settings can affect other users and connected systems, administrative changes should be made by users who understand your organization’s data, security, and integration requirements.

How Do I Know If I’m a Backstory Administrator?
You can check whether you have administrator access from Backstory Engagement Dashboards.
Log in to Backstory Engagement Dashboards.
Click the grid icon in the top-left corner.
Look for the Admin Panel in the dropdown menu.
If the Admin Panel appears, you are a Backstory administrator. If you don't see the Admin Panel, you don't have administrator access.
How Do I Get Administrator Access?
If you need to configure or manage Backstory as part of your regular responsibilities, ask an existing Backstory administrator to update your Permission level to “Admin” on the Users and Teams page of the Admin Panel.
