Engagement Dashboards Overview

The Backstory: You need a clear picture of your accounts, opportunities, and team activity, but that information is scattered across multiple sources. Rather than trying to combine data into a spreadsheet manually, you use Backstory Engagement Dashboards to bring your CRM data and Backstory engagement metrics together in one place, viewed as either high-level Boards or detailed Tables. This lets you monitor account health, spot at-risk deals, and track performance in one place.


Engagement Dashboards are Backstory's reporting layer, combining data from your CRM with Backstory's engagement metrics into customizable views of your Accounts, Opportunities, and Teams. Each dashboard is built in one of two formats, Boards or Tables, so you can view your data as a high-level snapshot or drill into row-by-row detail depending on what you need. This helps you understand how your business is engaging with customers without building reports from scratch every time.


Access Engagement Dashboards

  1. Find and open your Board or Table using one of the following options:

    1. Recently viewed: Select a dashboard from the recently viewed section.

    2. Search: Enter the name of your Board or Table in the search bar, then select it from the results.

    3. Browse: Browse the available dashboards in the left navigation panel and select the Board or Table you want to open.

Each Board or Table in the navigation panel has an icon that identifies the view type.


Boards vs. Tables

Engagement Dashboards come in two formats: Boards and Tables. Both are built on the same underlying data, but they present it differently depending on whether you want a quick summary or a detailed breakdown.

Boards

Boards give you the aggregate, big-picture view. They use KPI tiles and chart tiles to summarize metrics like activity volume, pipeline generation, and account engagement at a glance. Boards are best when you want a quick snapshot of how your business is performing.

Tables

Tables give you a detailed, spreadsheet-like view of individual records. They let you add columns, filter, sort, group, and export your data, making them useful when you need to dig into specific accounts, opportunities, activities, or teams.


Engagement Dashboard Data

Engagement Dashboard Boards and Tables display Backstory Engagement Metrics. Backstory calculates these metrics using captured activity data from your emails, meetings, and other activity sources, combined with data from your CRM.

What Data You Can See

Your access to data in Engagement Dashboards is determined by two layers of permissions.

Dashboard Access

Permission settings determine which Boards and Tables you can open. Permission level is configured by your Backstory administrator in the Admin Panel.

  • Users with Admin level permission can view every dashboard in the organization.

  • Users with Manager or Member level permission can view dashboards they created and dashboards that have been shared with them or made public using the Share option on the Board or Table.

Record Visibility

Object Visibility settings determine which Accounts, Opportunities, and associated activities you can see in Boards and Tables. Object Visibility is configured by your Backstory administrator in the Admin Panel.

  • Users with Full object visibility can view all Account and Opportunities records in Backstory.

  • Users with Team object visibility can view records they own and records of anyone in their team hierarchy.

  • Users with Individual object visibility can only view records they own.

If you can access a record, you can see all of its fields and metrics.

If you believe you are missing data you should have access to, contact your Backstory administrator.


Frequently Asked Questions

What types of users can create Engagement Dashboards?

Any user with access to the Backstory web application can create their own Boards and Tables.

Will other users be able to view or edit my Board or Table?

That depends on your permission level and how the dashboard is shared. Administrators can view all dashboards. Non-admins can only view dashboards they created, that have been assigned to them, or that have been made public.

Can I use Engagement Dashboards to edit CRM data?

No. At this time, you cannot update field values or push changes back to your CRM from an Engagement Dashboard.

Can I share a Board or Table?

Yes. You can share Boards and Tables individually, but you cannot share entire folders where Boards and Tables are stored.
